4. Applicant Data and Third-Party Processing
Data Provided by Applicants
We process personal data that we receive from you in the course of our business relationship. On our website, applicants have the opportunity to register by submitting personal data. The data is entered into a form, transmitted to us, and stored. Data will only be shared with third parties as outlined below.
Relevant personal data includes your first and last name, date of birth, full address, contact details, current employment status, desired work location, availability, and career preferences. Additionally, we require all typical CV-related information (e.g. qualifications, skills), and any data relevant for successful placement.
The submission of an application is necessary for the execution of a contract with the applicant or for pre-contractual measures.

Data will be deleted once it is no longer necessary for the purpose of its collection. For applications submitted in relation to contract performance or pre-contractual steps, this means once the data is no longer required for contract fulfillment. Even after the contract is completed, retention may be necessary to meet legal obligations.
You may request deletion of your data at any time by contacting the controller with your full name. Early deletion is only possible if no legal or contractual retention obligations apply.
Data Processing under the German Temporary Employment Act (AÜG)
We process applicant data in accordance with the German Temporary Employment Act (AÜG), as needed to establish and manage the applicant relationship and to mediate employment at third-party companies. CARPE DIEM GmbH Personalkonzepte will retain this data as legally required even after the termination of the application process. We will also transmit the data to social insurance institutions where legally required under §§ 2 & 3 No. 4 of the DEÜV (German Ordinance on Data Collection and Transmission).
Data Transfers to Third Parties / Processing by Service Providers
CARPE DIEM GmbH Personalkonzepte will only disclose personal data to third parties if the applicant has explicitly consented to this or if there is a legal obligation to do so. We work with external service providers such as GermanPersonnel and its applicant management system “persy” to support our recruiting processes. These services comply with data protection regulations.
We may transfer applicant data to other clients of CARPE DIEM GmbH Personalkonzepte, provided this is necessary for the applicant’s job placement. This is determined based on the applicant’s profile and the potential for successful placement. If an applicant wishes to restrict this scope, they must inform us by email or in writing.
Participation in Public Employment Programs
If the applicant participates in public labor market programs (e.g. from the German Federal Employment Agency, ARGE, or local job centers) while working with CARPE DIEM GmbH Personalkonzepte, we are authorized under Art. 6(1)(b) GDPR to transmit personal data to these institutions if required by law or necessary for program implementation. Data transfer is required for effective support within these programs.
Data Misuse and Unauthorized Access
Applicants are not permitted to disclose third-party data obtained from CARPE DIEM GmbH Personalkonzepte’s applicant system or job portal. In the event of a violation, CARPE DIEM GmbH Personalkonzepte reserves the right to immediately block the applicant’s access. The right to claim damages remains unaffected.
Processing of Customer and Contract Data
